A Department Administrative Assistant performs a wide range of administrative and office support activities for the department to facilitate the efficient operation of the organization. In this position, you will be given the opportunity to work alongside peers who are versatile, enthusiastic, and continuing to strive to push AECI and our mission forward.
Prepares and modifies documents including correspondence, reports, drafts, memos and emails.
Performs general clerical duties including photocopying, fax and mailing.
Schedules and coordinate meetings, appointments and travel arrangements for managers or supervisors.
Answers, screen and transfer inbound phone calls.
Opens, sorts and distributes incoming correspondence.
Coordinates organizational work procedures among various departments within the Division.
Collects, copies and distributes time sheets at end of each payroll period.
Coordinates maintenance of office equipment.
Maintains electronic and hard copy filing system.
Prepares and transports packages for shipment by Federal Express, UPS or mail services.
Schedules use of conference room when necessary.
Maintains outdated files for easy access.
Provides general assistance to personnel of all departments within the Division.
The ability to handle stress and work well with others are essential functions of this position.
3 – 5 years of related experience or equivalate combination of education and experience.
Proficient with Microsoft Office Word and Excel
Ability to work overtime, when needed
Ability to scan and organize documents into a Content Management System
Associates Degree in related field.
Knowledge of electric utility distribution system and infrastructure materials sales
