Position: Executive Assistant Location: Aledo, TX FLSA Designation: Full-time, Non-Exempt Performs confidential and other administrative support services to the President/CEO and Staff Members related to the general business operation of the cooperative. Essential Job Functions: - Keeps lines of communication open between CEO’s office and Staff
- Communicate on behalf of CEO, upon his direction
- Answer incoming phone calls for CEO and take messages
- Maintain accurate corporate records, documents, and reports, including Executive files
- Open, review and organize CEO’s mail
- Obtain signatures on documents that require authorization
- Manage the CEO’s day-to-day calendar, including making appointments
- Register and coordinate travel arrangements for the CEO and Board of Directors (Provide agenda, registrations, tickets, expense sheet, etc.)
- Process expense accounts for Board of Directors
- Treat confidential information with appropriate discretion
- Refer member issues to the appropriate department. Follow to resolution. FYI the CEO, if necessary
- Complete specific tasks requested by the Board of Directors with the CEO’s approval
- Organize Board of Director/CEO and staff monthly meetings, including scheduling, gathering items for discussion, preparing and assembling board packages (Boardvantage) for meeting use. Obtain catering when necessary.
- Register staff for conferences and meetings while providing travel information (Provide agenda, registrations, tickets, expense sheets, etc.)
- Archive Board packages, agreements, documentation in Laserfiche.
- Attend Executive Meetings at the request of the CEO and capture minutes. Distribute to attendees once completed.
- Research and process damage claims, notate accounts and scan documentation to member accounts.
- Review research information provided by staff for PUC complaints. Prepare responses to PUC Customer Protection Investigator and member for CEO signature.
- Assist in preparing and ordering annual service awards.
- Coordinate and handle registration at all employee meetings
- Pick-up Tri-County mail and distribute to appropriate departments and delivery daily outgoing mail to the post office.
- Complete miscellaneous requests from Staff and employees.
- Works well and promotes positive relationships with all personnel, members, and general public.
- Performs all other duties as requested to fulfill the objectives of the cooperative.
- Adheres to the cooperative’s core values and strategic initiatives.
Position Requirements: - High school degree or equivalent required
- At least five years of progressively responsible experience in administrative services or office management is required.
- Pursues training and development opportunities to continuously build knowledge and skills and share expertise with others.
- Experience working with a board of directors is helpful.
- Must be well organized, personable, and able to exercise discretion and use sound judgment in dealing with people and confidential information.
- Proficient with Microsoft Office, personal computers and other standard office equipment.
- Excellent verbal and written communication skills are required.
- The ability to work with a variety of different people and without supervision is also required.
- A valid Driver's License
- Attend meetings, workshops or seminars when requested to do so.
- Abide by the Cooperative’s Safety and Operating Procedures and adhere to board approved policies.

- Must demonstrate exceptional interpersonal skills by portraying a professional image and positive image of the cooperative in all contacts with the public.

- Must be able to maintain confidentiality of sensitive information and interact with others to accomplish tasks without arousing hostility.
