This position provides general office administrative, clerical, technical and day-to-day support to the CFO, VP of Human Resources, and VP of Information Technology and their direct reports which includes the following departments: Accounting, Finance, Human Resources, Information Technology, Business Transformation and Safety. This position is classified as Hybrid, which is a work arrangement that allows an employee to perform work associated with their position at both an EU Office and their home and is non-exempt as defined by the Fair Labor Standards Act as amended.
Normal Day-to-Day Work • Coordinates all meetings; prepares and distributes meeting minutes as requested. • Coordinates and schedules appointments, meetings and events for the various departments including all communication with the appropriate parties as well as meeting set up and meal arrangements as requested. • Uses Excel, PowerPoint, and Word to prepare a variety of articles, presentations, and correspondence. This includes creating, writing, drafting, editing, and finalizing documents for distribution and or/publication. • Maintains documents, information, and records by properly organizing, scanning, filing, and retaining per Company guidelines and as directed by management. • Handles a variety of situations involving the clerical and administrative function of the office, handles details of a confidential nature and performs administrative functions based on understanding of cooperative policy. • May prepare and complete financial and expense reports for these leaders. • Coordinates travel arrangements and registrations for employee training and development. • Will support the CFO with an assortment of responsibilities including legislative activities. • Will support HR with various responsibilities administrative support to the VP and team. Will also include Anniversary and Birthday cards and reports, Flowers, or memorials for the appropriate occasions, assist with organization chart updates, update forms and information out on HR Intranet. Will assist with maintaining Personnel files. • Will support the VP of IT with various administrative needs as identified. • Handles the reservations of company cars for employees when travel is required to other office sites. • Assembles training materials for departments as requested by making copies and compiling copies into participant notebooks. • Utilizes company software systems to run specific reports regarding a variety of department metrics as requested and distributes reports as appropriate. • Perform other duties as assigned.
Job Qualifications - Here are a few skills you must have to be considered for this position: • High degree of accuracy and attention to detail required. • Must be able to organize work to meet deadlines and manage multiple projects at once. • Excellent verbal and written communications skills required. • Ability to type with speed and accuracy. • Strong interpersonal skills, business sense and professionalism, to communicate with all levels of management and staff; ability to uphold a strict level of confidentiality and discretion. • Knowledge and proficiency with Excel, Word, PowerPoint, Access, Outlook, Adobe Acrobat, and other similar software • Knowledge of the structure and content of the English language. • Ability to implement work plans, make sound decisions from observations and carry out instructions. • Must possess basic math skills and have knowledge of mathematical concepts and ability to calculate and interpret numbers and relations among numbers used in conducting business transactions. • Must be able to work under pressure and meet deadlines. • Must be able to work with very little supervision and be proactive in responsibilities. • Must have a positive, open mind and considerate attitude toward the responsibilities of the position. • Must have an attitude of neatness, timeliness, orderliness, and accuracy toward the job. • Must possess a very conscientious attitude toward record keeping. • Possess and maintain a valid NC Driver’s License. • Ability to implement work plans, make sound decisions from observations and carry out instructions. • Be able to work under pressure and meet deadlines, work in harmony with many different personality types, and be proactive in responsibilities. • Must be available to work in adverse weather conditions when necessary. • Attention to detail and commitment to accuracy. • Must possess a strong ability to communicate in both verbal and written form. • Ability to retain information of a confidential nature. • Position is classified as a Non-Direct Operational Position. All employees assigned to headquarters or non-direct operational positions must make their domicile within one of the nineteen counties served by the Cooperative or within a 40 (forty) road mile radius to any EnergyUnited EMC office.
