NEC is seeking a qualified individual to fill the position of Executive Assistant to the President and CEO. NEC is situated within the White Mountains of Arizona. It is a place of beautiful scenery, mild climate and has a small community atmosphere where you know your neighbors. RESPONSIBILITIES:
Make appointments for the President and CEO; receive calls and visitors.
Handle business and confidential mail and write routine correspondence.
Coordinate with President and CEO and department managers and assist in development and evaluation of programs, policies, methods, and procedures related to management.
Serve as NEC’s Statutory Agent.
Prepare all material pertaining to Board meetings, including agendas, Board reports, Board minutes and other related materials for approval by the President and CEO.
Complete and send Board meeting packets to Board members at periodic intervals.
Receive and compile all reimbursement vouchers for Board members and maintain all data necessary for 1099 forms for Board Members.
Verify, complete and file all Board meeting minutes.
Assist in preparing articles (i.e., Board notes, President and Chief Executive Officer, Board members and as necessary other NEC employees.
Assist the President and Chief Executive Officer with social media marketing, advertising and reputation (i.e., Facebook, Twitter, etc.).
Coordinate and make travel arrangements for the President and Chief Executive Officer and Board members as necessary.
File, maintain, and update confidential records for President and Chief Executive Officer and Board members.
Perform special project work as assigned.
Assist with the perusal of area newspapers for articles relating to NEC or the industry.
Coordinate the NEC Service Awards Program.
Coordinate all NEC notaries’ registrations, renewals, bonds and state reporting. Order notary supplies as necessary.
Participate in organizations and associations as assigned.
Performs other duties as assigned.
QUALIFICATIONS:
Formal Education
Associate’s degree in Business Administration or related discipline.
Previous Job Experience
Five years of progressively responsible experience in an office or administration setting.
Special Skills
Possess good communication skills (both oral and written).
Have the proven ability to deal with public in a pleasant and efficient manner.
Have the proven ability to maintain confidentiality.
Have the proven ability to proof read and correct spellings, misuse of language, etc., in documents vital to the cooperative (i.e. bylaws, policy manual).
Have the proven ability to use good judgment and make necessary decisions in line with the co-op’s goals and standards.
Have proven organizational ability, to include scheduling and making necessary travel reservations.
Have proven work experience in multitasking and be detail oriented.
Be willing and capable to travel for educational and job responsibility duties, including overnight stays as may be required.
Have the proven ability to work independently of others and maintain a high level of productivity.
Ability to use Microsoft Office products with proficiency.
Have the proven working knowledge of publication software (e.g. In-Design).
Be able to develop a thorough knowledge and understanding of cooperative policies, programs, and practices.
Must maintain current Arizona Notary Public Status.
Have or be able to obtain a valid Arizona driver’s license within 30 calendar days of employment.
HOURS OF OPERATION:4/10s The cooperative is on a 4/10 schedule (Monday through Thursday).
