The Division Administrative Assistant provides administrative support for the Vice President and Division staff, coordinates activities among departments, and performs special projects in support of Division staff. This position presents the opportunity to work alongside peers who are versatile, enthusiastic, and continuing to strive to push AECC and our mission forward.
Responsibilities
Provides administrative support to the Vice President and other personnel within the division.
Compiles and transmits division reports to the President's office for monthly Board meetings.
Schedules and coordinates meetings, trainings and workshops.
Coordinates meetings, appointments and travel arrangements for the Vice President and other management personnel, and files expense reports for VP and other management personnel as requested.
Prepares and coordinates the preparation of board mail out materials; obtains documents, publications, reports and research material as requested.
Maintains accurate electronic and hard copy files in functional areas in support of ongoing projects and activities.
Assists the Vice President in the preparation of division annual budgets.
Retrieves and compiles data and statistics for use in various proposals and projects.
Acts as division records coordinator, overseeing document retention and destruction in accordance with approved records retention schedule. Scans and loads documents into CCMS as requested by division management personnel.
Administers vehicle fleet acquisition documentation, fuel card and credit card processes in support of procurement, as well as adding divisional vendor invoices to workflow tool for approval.
Administers various Finance and Accounting communications to member owners.
Coordinates divisional employee relations events throughout the year, and assists with sending correspondence and gifts to lenders and outside accounting contacts.
The ability to handle stress, manage confidential and sensitive information, and work well with others are essential functions of this position.
Performs any other related duties as required or assigned.
The ability to work overtime.
The ability to maintain regular and punctual attendance.
Minimum Qualifications
High School Diploma or GED, plus at least 4 years related experience and/or training, or equivalent combination of education and experience.
Preferred Qualifications
Certified Administrative Professional certification through the International Association of Administrative Professionals is preferred.
Proficiency in MS Excel, Word and PowerPoint.
