Under the supervision of the Manager of Member Services, provides accurate and timely data entry required for billing processing and computer operations. Performs analysis, interpretation, and collection of member accounts and effectively communicates the results to members. Is thoroughly familiar with Petit Jean Electric Cooperative’s (PJECC’s) rates, rules, regulations, policies, and general office procedures.
DUTIES AND RESPONSIBILITIES:
Maintains member records on an ongoing basis to ensure that the member information is accurate and the member is billed correctly.
Scans, indexes, and files all required Member Services records.
Processes member accounts receivable-electric revenue and kWh adjustments, sends revised bills, and makes budget billing adjustments to member accounts to ensure the member is billed correctly and the cooperative’s accounts receivable is correct.
Secures, researches and assembles all pertinent data to process moves, disconnects, and reconnects.
Processes and closes out work/service orders: Read Ins, Read Outs, New Locations, Miscellaneous Charges, Disconnects, Reconnects, Security Light Maintenance, Meter Changes, Meter Tests, Check Meters, Member Complaints, Outages, Meter Socket Protection, Right of Way Maintenance, Re-reads and Weatherization / Audits.
Helps respond to high bill complaints if easily resolved. Otherwise refers members to Member Services Field Representative / Energy Advisor.
Reviews all potential disconnects to determine the appropriate action within the scope of present policies and practices so the Cooperative is paid in a timely manner and to minimize risk to the Cooperative.
Maintains a file and prepares billing for accounts that require special attention so that the members are billed correctly and in a timely manner.
Reports any suspected meter tampering to the Manager of Member Services.
Keys in assigned meter reading books and corrects sequences as needed.
Processes Insufficient Funds (NSF checks and Auto Clearing House (ACH) payments.
Makes address and phone number changes to member accounts.
Makes payment arrangements for members within set guidelines and procedures.
Provides clerical and secretarial support to Manager of Office Services including billing correspondence, collating reports, copy work, etc.
Serves as a member of the on-call team to answer phone calls during power outages.
Maintains a safe working environment.
Protects and maintains member confidence by safeguarding member and employee information.
Serves members and fellow employees by providing services requested, answering questions, and offering assistance.
Performs other duties as needed to ensure smooth and timely operations of all office functions.
WORK EXPERIENCE: Minimum of three years prior experience in billing and member/customer service responsibility. Experience in a related area will be considered. Attention to detail and good oral communication skills are a must.
JOB KNOWLEDGE: Must have knowledge of Microsoft Windows and Microsoft Office. Must know how to use office equipment such as cash register, computer, keyboard, copier, printer, fax machine, and telephone console. Must possess knowledge of good public relations, good member service, word processing, data entry, and typing.
ABILITIES AND SKILLS:
Must be able to work outside of regular hours due to billing needs and emergencies from time to time.
Must be able to communicate well with the membership, general public, and fellow employees.
Must have considerable skill in effectively dealing with a variety of people under difficult circumstances.
Must be able to compose correspondence using basic information and data in developing reports, write grammatically correct letters, reports, etc., with proper use of punctuation, and be able to spell correctly.
Must have a thorough working knowledge of general office practices, record keeping, and computers.
Must understand basic management practices.
Must be able to work independently and assume responsibility.
Must be willing to work as a team with all Cooperative employees in the best interest of the Cooperative, and to accept change in work program and patterns to keep pace with the changing times.
Must be able to work under pressure, perform several tasks simultaneously without becoming distressed and plan and organize work.
Must be able to operate modern office equipment such as a personal computer, copy machine, mail machine, Remit Plus check processing machine, etc.
