This role has the option to be a blend of remote and onsite work if department and business needs allow and with approval from direct supervision. Our hybrid remote work schedule combines three (3) days on premises with up to two (2) days remote.
Key Roles
This position is responsible for providing administrative support functions for the Fuel and Emissions team, contact with internal/external customers, and preparation of various resources for those supported.
Key Responsibilities
Distributes Request for Proposal and assists with formal bid opening process.
Verifies documentation is received according to the contract checklist.
Supports team with data entry and organization related to the procurement process of fuel and fuel related commodities, along with transportation and lab services.
Monitors and records the status of transactions throughout the procurement process.
Distributes executed documents to ACES and internally.
Prepares and distributes various monthly reports.
Provides documents during internal or external audits.
Serves as backup for ordering No. 2 fuel oil for power plants.
Prepares documents and assists with presentation content for Board and committee meetings.
Compiles and coordinates responses to the Public Service Commission's Fuel Adjustment Clause and other cases, as needed.
Provides assistance with fuel budget preparation and fuel evaluation models.
Enters, reports, and maintains bidding events through the Fuel Evaluation Model Application.
Performs administrative tasks including word processing, faxing, call screening, copying, expenses, records coordination, etc.
Coordinates meetings, workshops, travel arrangements, etc.
Provides assistance with various documents for EKPC¿s administrative staff.
Coordinates annual review and update of the Fuel Procurement Manual.
Enters requisitions and queries information through PeopleSoft.
Reviews invoices, matches corresponding purchase order, and checks the status.
Ensures complete discretion, maturity, and confidentiality in handling sensitive information and records.
Assists the Executive Administrative Assistants, as needed.
Performs other duties as assigned.
Key Requirements
Education:
High school diploma or equivalent. Associates degree in a related area and knowledge of basic accounting preferred. An equivalent combination of education and experience may substitute.
Microsoft Office User Specialist (MOUS) certification and/or Certified Professional Secretary (CPS) certification preferred.
Experience:
Three (3) years of related experience.
Experience in a corporate environment preferred.
Skills and Abilities:
Knowledge of office systems and procedures including copier, fax, call screening, expenses, records coordination, etc.
Thorough knowledge of Microsoft Office suite (Word, Excel, PowerPoint, and Outlook) with proficient knowledge of Word and Excel required.
Proactive, detail-oriented, organized, with the ability to multitask.
Thorough data entry, documentation, and record keeping abilities.
Demonstrated ability to manage sensitive and confidential information.
Excellent interpersonal skills and the ability to collaborate with other contacts, both inside and outside the cooperative.

Occasional field and plant visits. Travel may be overnight or in another state.
Occasional lifting up to twenty (20) pounds.
