NEC is seeking a qualified individual to fill the position of Work Order Specialist for its Lakeside Office. The service territory covers 10,000 square miles, extending from Arizona’s White Mountains in the northeast to the northwestern region of New Mexico. NEC provides service to rural communities built on strong personal connections, where neighbors know one another—aligning with the cooperative’s values of trust, service, and community. The area abounds in opportunities for hiking, hunting, fishing and other outdoors sports.
RESPONSIBILITIES: This position will initiate, coordinate, and track work orders to ensure accuracy. Provide administrative and support functions for the Engineering Services department.
Duties Performed Regularly
Issue and maintain current status of all new service orders and work orders as to dates released to construction and dates of completion as needed.
Reviews account numbers, project codes and other information on each work order for accuracy.
Processes all services orders with corresponding work orders including new services, upgrades, and retirements.
Enter meters, transformers, poles, etc. as needed in the CIS/Services software.
Assist in the standardization of GIS data entry.
Flag work orders with correct categories for mapping. Support GIS by identifying recurring issues.
Processes and prepares month end material and inventory reports.
Reviews recording of material, overhead charges, and other costs charged to construction projects for each work order.
Review, audit, analyze labor, mileage, contract invoices, aid to construction, material, and redlines for every project/work order.
Prepare and distribute closed work order reports.
Assists accounting with preparing RUS Form 219 and Special Equipment reports for Board meetings.
Prepares and posts miscellaneous journals.
Prepares audit work papers for annual audit pertaining to work orders and continuing property records, and inventory records.
Input and maintain current status of work order staking sheets issued from Engineering Technicians into computer system. Ensures tax code, transformer id and map location are identical on the work order.
Assists public or directs them to the appropriate personnel.
Type reports, correspondence, studies, permits, easements, etc. as required by the Manager of Engineering Services and the Engineering Services Staff.
Assist warehousing with keying material sheets as needed.
Troubleshoot, identify incorrect information in NEC’s Transformer Data Base, including assigning new map location, numbering, retiring and updating transformer information.
Process and maintain engineering databases in record books, and computers.
Establishes, revises and maintains Engineering Services department files.
Know and work according to NEC's Safety Rules and Procedures.
Assist Engineering Technicians with new service applications including green tag, aid to construction, and accurate service orders for the project.
Will practice and maintain a thorough knowledge and understanding of NEC’s policies, programs, goals and mission statement.
Assist area offices and departments in research dealing with transformers, meters, and map location numbers.
Creates, tracks, and processes all billable damages work order assisting the Safety and Loss Control Specialist in recouping costs.
Create invoices for Aid to Construction, Billable Damages, and Security Light repairs for contracts.
Process refunds through Accounts Payable when applicable.
Create, track, and monitor all work orders for internal jobs and communicates with appropriate parties.
Review and communicate with Accounting and Design & Staking Supervisor for monitoring Assembly Units and Pick Lists, Estimated Costs, Standard Costs, and Budget Projects.
Perform other duties as directed.
QUALIFICATIONS:
Formal Education
Two-year associate’s degree with emphasis in engineering, business, or other sciences.
Previous Job Experience
Two years of progressively responsible experience in a secretarial field, preferably in electrical utilities.
Special Skills
Possess good communication skills (both oral and written).
Able to deal with the public in a pleasant and efficient manner.
Have proven ability to work and maintain confidentiality.
Ability to proofread and correct misspellings, misuse of language, etc., in documents vital to NEC.
Demonstrate a strong ability to perform standard functions in Word Processing, Spreadsheet and Database programs.
Ability to use good judgment and make necessary decisions in line with NEC’s goals and standards.
Have organizational ability, which may include scheduling and making necessary travel reservations.
Have proven work experience in multitasking and be detailed oriented.
Be willing and capable of travelling for educational and job responsibility duties. Some overnight stays may be required.
Able to work independently with a high degree of initiative and consistently maintain strong productivity.
Able to develop a thorough knowledge and understanding of NEC’s policies, programs, and practices.
Have or be able to obtain and maintain a valid Arizona driver’s license within 30 days of employment.
HOURS OF OPERATION: - 4/10s - (Monday through Thursday). The normal office hours are 7 AM to 6 PM.
SALARY: Is commensurate with qualifications and location.
