Job Description:
The Executive Assistant to the Chief Executive Officer (CEO) provides high-level administrative and organizational support to ensure the effective and efficient operation of the CEO’s office. This position plays a critical role in managing executive priorities, facilitating communication across the cooperative, and supporting Board and Member-related activities. The Executive Assistant must demonstrate exceptional organizational skills, discretion, professionalism, and advanced proficiency with Microsoft Office tools.
Key Responsibilities:
- Executive & Calendar Management
- Manage and maintain the CEO’s calendar, including scheduling meetings, prioritizing commitments, and resolving conflicts.
- Coordinate all travel arrangements, including flights, accommodations, itineraries, and logistics.
- Prepare the CEO for meetings by assembling agendas, briefing materials, and relevant background information.
- Track and follow up on action items to ensure timely completion.
- Manage incoming communications and prioritize requests as requested by the CEO.
- Board & Governance Support
- Coordinate Board of Directors meetings, including scheduling, logistics, and preparation of materials.
- Assist in compiling, formatting, and distributing Board packets and presentations.
- Record and maintain meeting notes and follow-ups as directed.
- Facilitate coordination between the CEO and Member representatives.
- Communication & Correspondence
- Draft, edit, and proofread correspondence, reports, and presentations.
- Serve as a liaison between the CEO and internal/external stakeholders.
- Maintain confidentiality of sensitive and strategic information.
- Microsoft Office & Productivity Tools
- Utilize advanced capabilities in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
- Develop high-quality presentations and reports.
- Identify opportunities to improve efficiency using Microsoft tools.
- Administrative & Operational Support
- Maintain organized filing systems (digital and physical).
- Process expense reports and track executive-related expenditures.
- Support coordination of special projects and initiatives.
- Meeting & Event Coordination
- Organize executive-level, Board of Directors, company, and Member meetings and ensure follow-up.
- Assist with planning cooperative and Member events.
- Other duties as assigned.

Minimum Qualifications:
- Associate’s or Bachelor’s degree; or equivalent experience.
- 5 to 10 years of experience supporting senior executives.
- Advanced proficiency in Microsoft Office 365.
- Strong organizational and time-management skills.
- Ability to manage multiple priorities with accuracy.
Preferred Qualifications:
- Experience in an electric utility or cooperative environment.
- Experience supporting the Board of Directors.
- Experience preparing executive-level presentations.
- Familiarity with workflow and automation tools.
